1. Introduction

This Privacy Policy describes how VetCard collects, uses, and protects your personal information when you use our veterinary booking platform.

VetCard is not directed at persons under 16 years of age. We do not knowingly collect personal data from children under 16. If you believe a child has provided us with personal data, please contact us so we can delete it.

2. Data Controller

The data controller is Yurii Mokryi, sole proprietorship in Poland, 62-060 Stęszew. Privacy contact: privacy@vetcard.cloud.

3. What We Collect

We collect the following types of information:

  • Personal Information: Name, email address, phone number, and pet details provided during registration or booking.
  • Booking Data: Selected clinics, appointment dates and times, and booking status history.
  • Technical Information: IP addresses, browser type, and usage data.

4. How We Use Your Information

We use your information to (the applicable legal basis under GDPR Art. 6 is indicated for each purpose):

  • Provide our booking service: processing appointments and forwarding them to clinics — legal basis: performance of a contract (Art. 6(1)(b)).
  • Send notifications: booking confirmations, reminders, and cancellations — legal basis: performance of a contract (Art. 6(1)(b)).
  • Improve our service: — legal basis: legitimate interests (Art. 6(1)(f)); you may object at any time.
  • Comply with legal obligations: — legal basis: legal obligation (Art. 6(1)(c)).

5. Cookies and Analytics

Our website uses cookies and similar technologies. We do not use cookies for advertising or personalized ads.

  • Necessary: authentication session, Cloudflare Turnstile (bot protection), language preference, and cookie choice. IP addresses are processed by our hosting infrastructure and Cloudflare as strictly necessary to deliver the service (legal basis: legitimate interests, Art. 6(1)(f)). No consent required.
  • Analytics: Google Analytics, only with your consent (GDPR Art. 6(1)(a)). Measures use of public pages.
  • We do not use analytics or advertising cookies without your opt-in via the cookie banner. We do not run Google Ads.
  • You can change your choice anytime via Cookie settings in the site footer, or clear site data in your browser.

6. Sharing Your Information

We do not sell your personal information. We may share your information only in the following cases:

  • With Veterinary Clinics: Your personal and booking data is shared directly with the clinic you select to fulfill your appointment.
  • With trusted service providers: Google (Google Analytics — only when you consent); Cloudflare, Inc. (DDoS protection and Turnstile); Hosting providers (server infrastructure in the EU).
  • When required by law or to defend against legal claims.

7. Data Retention

Account data is retained for the duration of your account and deleted within 30 days of closure. Booking data is retained for 2 years. Server and access logs (including IP addresses) are retained for up to 30 days. You may request earlier deletion at any time.

8. Data Security & Breaches

We implement appropriate technical measures (HTTPS/TLS) to protect your data. In the event of a breach posing a risk to your rights, we will notify the competent supervisory authority (UODO) within 72 hours (GDPR Art. 33).

9. Your Rights

You have the right to access, correct, delete, receive a copy, restrict processing, or object to processing of your data. You may withdraw cookie consent at any time via the Cookie settings.

You may lodge a complaint with a data protection authority. As the controller is established in Poland, the competent authority is: UODO — Urząd Ochrony Danych Osobowych, ul. Stawki 2, 00-193 Warszawa, uodo.gov.pl.
